The Bamboo Room Cancellation Policy

Effective Date: July 30th, 2026 

At The Bamboo Room, every reservation is important. Because seating for Open Play sessions and classes is limited, each reservation represents an opportunity for another member or guest to participate. We kindly ask that you cancel or reschedule your reservation at least 24 hours before your scheduled session whenever possible. Guests using Open Play Class Packages who cancel less than 24 hours before their scheduled reservation or fail to attend without prior notice will forfeit one session from their package. No credits or refunds will be issued for missed reservations. Members of The Bamboo Membership, Founding Members Membership, and The Bamboo Room Student Membership who cancel within 24 hours of their reservation or fail to attend without notice will be charged a $20 Late Cancellation Fee for each occurrence. This fee helps ensure fair access to reservations and allows us to continue providing a high-quality experience for all members. Members of The Bamboo Room Reserve Membership receive three (3) Late Cancellation Grace Passes each calendar quarter. Grace Passes are automatically applied to late cancellations or missed reservations. Once all Grace Passes have been used, any additional reservation canceled within 24 hours or missed without notice will be subject to a $20 Late Cancellation Fee. Reservations may be canceled or rescheduled through your The Bamboo Room account, The Bamboo Room mobile application, or by contacting The Bamboo Room directly during normal business hours. Cancellation requests submitted after the 24-hour cancellation window, or after the scheduled reservation time, will be considered late cancellations.Late cancellation fees and forfeited sessions are not eligible for refund, credit, or transfer except where required by applicable law or at The Bamboo Room's sole discretion due to extraordinary circumstances.The Bamboo Room reserves the right to modify or waive late cancellation fees in cases involving severe weather, facility closures, emergencies, or other situations deemed appropriate by management. Repeated no-shows or excessive late cancellations may result in temporary suspension of reservation privileges or membership review. By reserving a class, Open Play session, or event, you acknowledge and agree to this Cancellation Policy.
